Effective April 1, 2006, all travel on federal sponsored funds (fund numbers 100000 - 199999) has to be booked through Harvard's preferred travel vendors. This is mandatory and no fare comparison will be required.

Your flight can be booked and charged directly with BCD so that you need not use a credit card and payment is directly through the Rowland accounts.

Please follow the steps below:

1. Call BCD Travel @ 496-8000 - inform the agent that you'd like to pay using the WVTAF. Tell her where you would like to go and when you want to travel.


2. Upon conclusion of the reservation, give them Angela's email address so that they obtain authorization for the correct account from her.


3. Email Angela your narrative/description of business purpose. This will both prompt her to keep an eye out for the email and will provide the necessary detail for the authorization.

HARVARD'S BUSINESS TRAVEL INSURANCE provides coverage for accidental death and dismemberment, or for total permanent disability, for employees traveling on University business. The payment is five times earnings, with a minimum of $100,000 and a maximum of $750,000.

International SOS provides 24-hour, worldwide emergency medical and security evacuation services. While International SOS will arrange for or pay directly for your medical care in an overseas medical emergency. However, International SOS will expect to be reimbursed for this payment, either by your insurance company or by you.

If you travel to a “war risk” country in the course of your Harvard work, you must inform Harvard's Insurance Office prior to your trip in order for the University's Business Travel Insurance Policy to cover you.
